Monthly payroll runs on the agreed cadence. Employees receive their pay and payslips every month at the same time, with no surprises.

When an employee joins or leaves, we prepare the registration or de-registration with the Social Insurance Agency and the health insurer within the deadline set by law. The client sends the basic information; we take care of the rest of the administration.

Payroll generates different outputs for different parties — cost data for accounting, payslips for employees, filings for tax authorities and insurers, supporting documents for auditors. We prepare all of them on the same schedule.

How a payroll month with Capila unfolds.

Four stages of the payroll cycle — from the first day of the month to the moment the payslip is delivered.

    Collecting the inputs

    The client sends the payroll inputs — overtime, time off, bonuses, contract changes. For changes in the team agreed in advance, the adjustments are made automatically.

  2. 02

    Calculation and check

    Payroll is calculated — tax, contributions, holiday pay, bonuses. Before the output goes back to the client, an internal check catches any unusual items or shifts from the previous months.

  3. 03

    Approval and payment

    The client receives the payroll summary for approval, together with the payment file. Once approved, payslips go to employees by e-mail with password-protected attachments and the bank transfer file goes to the company.

  4. 04

    Filings and archiving

    Monthly filings for the Social Insurance Agency, health insurers, and the tax authority are submitted within statutory deadlines. Payroll documentation is archived electronically per the applicable retention periods — ready for any potential audit or inspection.

Common questions.

Do you handle hiring too?

No. Hiring — sourcing, interviews, signing the employment contract — stays on the side of the client or a recruitment agency. Capila steps in once the contract is signed: based on the documents you send us, we register the employee with the relevant institutions and onboard them into payroll.

Which payroll software do you use?

Pohoda with the payroll module. Payslips and other outputs are delivered to employees and clients primarily by e-mail with password-protected attachments; if the company has its own HR portal or another preferred channel, we adapt to it.

Which filings do you handle?

Monthly filings for the tax authority, health insurers, and the Social Insurance Agency. Annual tax reconciliation for employees. Dependent activity report. Statistical filings for the Slovak Statistical Office (monthly and quarterly, depending on the type of report).

Do you process payroll for a group of companies?

Yes. By law, each entity in the group keeps its own payroll records, but we process all entities in parallel each month. An employee working for several companies in the group receives a separate payslip for each of them.

How long are payroll records archived?

Payroll records are among the documents with the longest statutory retention periods — some, such as payroll cards, are retained for several decades, as they serve as input for pension proceedings. Capila keeps the payroll documentation electronically, in line with the retention periods set by Slovak legislation.

Do you process payroll for foreign nationals?

Yes. When a company hires a foreign national, we prepare the registration with the Social Insurance Agency and the health insurer, including the forms required for EU postings or for registering a foreign worker in the Slovak system. For more complex cross-border situations — for example, immigration matters, double-taxation issues, or residency assessment — we recommend bringing in an external attorney or tax advisor with the client's approval.
